Hiring a team of virtual assistants can be one of the best decisions you make for your business – and I’m not just saying that because I provide virtual assistant services myself!

There are plenty of upsides to outsourcing parts of your business – provided that you do it properly, of course.

But before getting on the phone with your local business outsourcing provider, it’s important to understand what your virtual assistant can do for you… and just as importantly, what they can’t do.

Your virtual assistant CAN:

Take care of repetitive, boilerplate tasks

If you had to  summarise the case for for virtual staffing into  a single sentence, it would be this: “they can save you hours of your time.”

Every business has its fair share of repetitive grunt-work. I’m talking about things like data entry and administrative work. While it might be mind-numbing stuff, it’s essential to the smooth running of your business – someone has to do it.

The thing is, that someone doesn’t have to be you!

Ideally, you’d be able to automate these tasks. However, we’re quite some time away from seeing that become reality. Fortunately, a competent virtual assistant is the next best thing!

Do all the things you CAN’T do yourself

You’re a business owner, not a superhero. You can’t possibly know everything there is to know. More often than not, you won’t have the time to learn it all anyway.

Don’t get me wrong, it’s admirable. But most of the time it’s simply not possible!

The usual suspects include:

Many of these are niche skills. Sure, you could learn how to do them yourself. Better yet, you could hire a qualified virtual assistant to look after them for you – and affordably to boot!

Look after all the tasks that are too expensive to be done locally

Did you know? Australia has one of the highest level of  wages in the world, beating out economic heavyweights like Germany, the USA and Japan. And this isn’t even considering industry awards either!

I’m not getting into a discussion on whether or not this is too much or too little – that’s a matter for politicians, and to be honest, I have no interest in running for election.

I bring this up however because sometimes, you need an extra pair of hands to ease the burden at your business.

For many smaller businesses in particular, the cost of hiring an additional staff member is simply too much. And handing it off to your overworked employees might just be too much to ask.

The answer: hire a virtual assistant.

Thanks to the lower cost of living overseas, Australian businesses are able to bring on additional hands without the  high associated expense. Depending on the job, you could save anywhere between 50-80% on the cost of wages!

Your virtual assistant CAN’T:

Devise strategy or set the direction for your business

If you’re overworked, virtual assistants are great at taking the grunt-work out of your business.

When it comes to the parts of your business that are more strategic in nature however, that’s on you.

As a business owner, your direction and strategy are the parts of your business that you know best. You are the person that best knows your market and how to steer your business through it. Nobody can take your place!

Furthermore, your virtual assistant will be based in another country. Needless to say, entrusting business strategy for the Australian market to a VA will not work!

That’s not a dig at your VAs – we hire some of the sharpest people around. Your virtual assistants can help by providing their input. But the final call is on your shoulders, and no-one else’s.

Help you with clients

Whether your business experiences huge call volumes or a constant barrage of emails, there are plenty of reasons to outsource your customer service.

Without a doubt, customer service outsourcing is one of the most common requests that our clients come to us with.

Anyone who gets a lot of their business through one-on-one meetings with clients knows how important making a personal connection is. And while it isn’t impossible, it’s a lot harder to do through a computer screen!

If your business is the sort that relies on one-on-one meetings, a virtual assistant will not be able to have the meetings for you. However, there are other ways they can help out behind the scenes!

We have clients that have their VA’s save them time by setting up the meeting, diairising the meeting and ensuring that everyone knows where the meeting is taking place – all happening in the background.

Do quick, one-off jobs

Virtual assistants are not freelancers!

All the VAs we source are experienced and qualified. And they need to earn a living too, which is why I only take on clients who can offer ongoing, permanent employment.

From time to time, a client will ask for VA to help with a single job, a small project or just help get a CRM updated etc.  Whilst this is not our core specialty, we can always try to assist if we have staff out of work.

If you ask us for a web developer to build you a one-off site, and you know nothing about website builds, we’d rather suggest you talk to a local web agency. We’ll happily refer you to good, local firms.

In cases like these, we prefer not to take on the work, as we cannot guarantee a great outcome, and nor can you. You would have no idea if the VA is doing an elegant build or a bum one.

This applies to a lot of work we get asked to help with, where we can see the client will not be happy with the outcome – call me and I am happy to chat about this anytime.
